The GAA club member list, in one file

Every club keeps its membership somewhere — Foireann, a shared spreadsheet, or the registrar's own file with the colour coding only she understands. Here is a template that holds the fields the GAA actually asks for, and what belongs in each one.

The register is the least glamorous thing a club owns and the one that costs the most when it's wrong. Insurance cover, age-grade eligibility, who has actually paid, which coach is vetted, which parent to ring when a fifteen-year-old goes down awkwardly — all of it resolves back to one list, and in most clubs that list exists in three partial copies that disagree.

Why the columns are what they are

These aren't our inventions. They mirror the fields a Foireann member export carries, so a file built this way is one a registrar can reconcile against the official record rather than a private format that traps you.

Three of them cause nearly all the confusion:

  • Association is the governing body, not the game. The GAA, the LGFA and the Camogie Association are separate bodies with separate registrations — which is why a dual player has more than one. “GAA” on its own covers both football and hurling, so there's a separate Code column for which of the two.
  • Registration ID and Member ID are different things. The first is your club's own membership number. The second is the GAA/Servasport ID that Foireann uses. If you're not certain which you have, leave Member ID blank — a wrong value there is worse than an empty cell, because it silently attaches a member to the wrong official record.
  • Valid From and Valid To are the registration period, not the date you added the member. Valid To is the column that answers the question a registrar is actually asked every February: who has lapsed?

Every column

Only three are required. Everything else improves what the list can tell you, and can be filled in later.

Accepted values — Association: GAA, LGFA, Camogie, Handball, Rounders. Playing Status: Playing or Non-playing. Membership Type is your club's own wording. The same list is on the workbook's Lists tab.

A dual player goes on one line

Put both bodies in Association, separated by a comma — GAA, Camogie. An official export usually repeats the member once per association instead, which is fine too; either way she stays one person holding both codes, with each registration number and renewal date kept separately.

There are no address or phone columns, on purpose. A club register is mostly children, and a template that asks for home addresses gets home addresses — from every club, by default, whether or not anyone needed them. We ask for what it takes to run panels safely and nothing more. If your club has a genuine reason to hold contact details in FullPanel, that's a conversation and a data-protection agreement, not a column we leave lying open.

Getting it into FullPanel

Fill it in, then in FullPanel go to Members → Import / sync and upload it. You see exactly what will change — who is new, who is being updated and which fields, who is unchanged — before anything is saved. Members already in FullPanel but missing from your file are reported, never deleted.

Re-uploading a corrected file is safe. Members are matched on Member ID first, then Registration ID, then name and year of birth, so a second upload updates rather than duplicates. That also means you can keep the spreadsheet as your working copy while you're getting started, and stop when you're ready.

A Foireann export works as it downloads, with no editing — including the split first-name/surname columns and the Irish name. Membership exports from other club systems generally work as they come too. If your list is somewhere else entirely, this template is the shortest route.
